Configure the rule 'Truncate the current balance'

Similar to the 'Close Balance' rule, with this rule you can transfer the value of a balance to the next period, but with the option to transfer only part of the value.

Example: At the end of the month, the balance flexible hours for an employee is truncated to one day maximum. The surplus can be set to be erased or can be added to other balance codes.

  • If a balance rule without attendance group or employee is created, this rule will be used as a catch-all for all employees to whom none of the defined balance rules apply.
  • Ensure that a balance rule not to be executed randomly, is generated by at least 1 employee.
  1. Select the Create Balance rule block that you want to configure.
  2. Enter the code in the field Code or click Select Code to select a balance code.
  3. In the option group Truncate Options, complete the fields below:

    Limit to a maximum of ... h ... m

    Example: The value is set to 24 hours. If the balance counter contains 36 hours and 42 minutes, the value of the balance counter is replaced with the set maximum value (24 hours). The difference (12 hours and 42 minutes) is the surplus, which can be processed using the options below.

    Expiration Options

    Expiration options can only be set when quantity options are set.

    Example: An employee has worked 36 hours and 42 minutes. Using the truncate options above, the hours were truncated to 24 hours. The difference of 12 hours and 42 minutes can be erased or added to the FH (flexible hours) day code.

  4. If you chose to transfer the surplus, continue with the next step:
  5. Click Add Code .
  6. Do one of the following in the option group Code:
    • Enter the balance code in Code.
    • Click Select Code , select the balance code and click Finish.
  7. Choose one of the following options in the option group Transfer Options:
    • Limited, enter the value of the restriction. The value of the selected balance code is incremented by the maximum of the entered value of the restriction. The unit can be hours and minutes, days or numbers, depending on the selected balance code. The surplus can be transfered to a next balance counter.
    • Unlimited, the value of the selected balance code increment is unlimited.
  8. Click Finish.
  9. Repeat from step 5 to transfer further.
  10. Use the arrows to set the sequence of the balance codes.
